Privacy Policy
This Privacy Policy explains how OPENCBCT LLC, which operates AICBCT and rentalXray (“AICBCT,” “we,” “us”), collects, uses, shares and protects personal information when you use aicbct.com, our apps and related services (the “Services”).
1. Who this policy covers
Patients, dentists and clinic staff, CBCT owners, equipment renters, investors and visitors. Clinics that book patients through AICBCT remain responsible for their own patient records under their own privacy notices.
2. Information we collect
- Account information: name, email, phone, password, role (patient, clinician, CBCT owner), clinic name and license details.
- Booking information: selected clinic, appointment times, service requested, quotes and messages.
- Health and imaging information: CBCT/DICOM images, intraoral scans, AI reports, treatment plans and notes you or a clinic choose to upload. We treat this as sensitive information.
- Payment information: processed by our payment providers; we receive only limited details such as card type, last four digits and transaction status.
- Device and usage information: IP address, browser, device type, pages viewed and approximate location, collected through cookies and similar tools.
- Investor inquiries: name, email and any information you send when requesting updates.
3. How we use information
- To provide the Services: map search, bookings, image storage, AI analysis, quotes, scheduling and orders.
- To process payments, subscriptions, refunds and partner referrals you request.
- To send service messages such as confirmations and reminders.
- To improve safety, prevent fraud and comply with law.
- To send marketing or investor updates only where you have agreed; you can opt out at any time.
- To improve our models and services using de-identified data only, and never identifiable health images without your separate, explicit consent.
4. Health information and consent
We upload, analyze or share your imaging and health information only with your consent or at the direction of your treating clinic. Where AICBCT handles protected health information on behalf of a U.S. covered entity, we do so under a Business Associate Agreement as required by HIPAA. AI output is informational only and is not a diagnosis; it must be reviewed by a licensed professional before any clinical use.
5. How we share information
- Clinics you choose: when you book, request a quote or share a scan.
- Service providers: hosting, storage, AI imaging, payments, messaging and analytics vendors bound by contract to protect your data and use it only for our Services.
- Partners you select: such as financing or insurance-check providers, only after you choose to connect.
- Legal and safety: when required by law, to protect rights and safety, or in connection with a merger or acquisition, subject to this policy.
Without your opt-in, we do not sell or share your personal or health information for offers or advertising.
5a. Optional partner offers and personalized ads
Two choices are offered separately from sign-up and payment. Both are off by default, are never required to use AICBCT, and can be changed anytime in My Case → Privacy choices:
- Partner offers. If you opt in, we share your name, email, phone, ZIP code and the treatment you are interested in (for example, implants) with the categories of partners named at opt-in — dental clinics, dental laboratories, financing companies and insurance companies — so they can send you offers. Partners may pay AICBCT for this, which some laws treat as a "sale" of personal or consumer health data. Your scans, images, AI results and treatment records are never shared for offers.
- Personalized ads. If you opt in, we use your activity in the app (pages and services you view — not your scans or records) to show you AICBCT and partner ads on other websites and to measure them.
Each opt-in lasts 12 months unless you renew it, and we keep a dated record of every choice. You can withdraw at any time; we then stop new sharing and tell partners who received your details to stop using them for offers. Residents of Washington, Nevada, California, Connecticut and other states with consumer or health-data privacy laws have these rights, and we honor Global Privacy Control signals as an opt-out of ad sharing.
6. Cookies
Today we use only essential cookies and your browser’s local storage (for example to keep you signed in and remember your choices); we do not use analytics or advertising cookies. If we add them, we will ask for your consent first where required and update this policy. You can control cookies in your browser settings. We do not respond to Do Not Track signals, but we honor Global Privacy Control where required by law.
Affiliate partner links. Some partner links on AICBCT are affiliate links run by networks such as CJ Affiliate (Commission Junction LLC) or by the partner itself. When you choose a partner and click its link, you leave AICBCT and the network or partner may place cookies, web beacons or similar tools on your device to record that the visit came from AICBCT, so a purchase or sign-up can be credited to us. These tools are set by them, not by AICBCT, and record the referral, not your scans, images or health records; we never put partner links on pages showing your health information. CJ’s practices are described in its privacy policy at cj.com/legal/privacy-policy-services, including how to opt out. You can also block or delete these cookies in your browser settings.
7. Retention
We keep information only as long as needed for the purposes above, to meet legal, tax and medical-record obligations, and to resolve disputes. Imaging you upload stays in your account until you delete it or close your account. Deleted or replaced files are removed from your account right away, but their encrypted copies are kept in our secure archive for up to 7 years and then erased, to meet medical-record, tax and dispute obligations and to protect against accidental loss; signed consent forms, messages with clinics and partner records are kept for 7 years for the same reasons. Archived copies are not used for any other purpose.
8. Security
We use encryption in transit and at rest, access controls, logging and vendor reviews. No system is completely secure; we will notify you and regulators of a breach as required by law.
9. International transfers
Information may be processed in the United States and other countries. Where required, we use appropriate safeguards such as standard contractual clauses.
10. Your rights
Depending on where you live (for example California, the EU/UK or Korea), you may request access, correction, deletion, portability, restriction or objection, and withdraw consent. We will not discriminate against you for exercising your rights. To make a request, contact us below; we may need to verify your identity.
11. Children
The Services are not directed to children under 18. A parent or guardian must manage any booking for a minor.
12. Changes
We will post updates here and notify you of material changes before they take effect.
